A 24/7 AI receptionist that handles new-patient intake, pre-qualifies insurance, and books chair-aware appointments — without overloading the front desk.
Industry: Dental · Service area: Metro Atlanta · Engagement: Done-for-you AI voice agent build · Status: Live and operating · Launch: Under 3 weeks from kickoff
The Challenge
Like most metro Atlanta dental practices, our client was losing meaningful new-patient revenue to two predictable phone-handling failure modes.
Front-desk overload during business hours
The team was strong, but the phone competed constantly with patients at the checkout window, insurance verification calls, post-op questions, and chair turnover. Inbound new-patient calls hit voicemail more often than anyone wanted to admit. Each missed call was either a permanently lost lead — booked with the next practice the prospect tried — or hours of follow-up work to recover.
Total coverage gap after hours
Evening, weekend, and holiday calls — exactly the windows when prospective patients have time to call — went straight to voicemail. Most never called back. In a market as dense as Atlanta, prospective patients shop two or three practices before booking. Whichever office picked up first won the appointment.
The practice had tried the obvious fixes: a second front-desk hire (turned over within a year), a traditional answering service (took messages, didn’t book appointments, billed per minute). Neither solved the problem at the price point that made sense for the practice.
What We Built
Clockwork Apps designed and deployed an AI voice receptionist purpose-built for the practice’s specific call patterns, booking rules, and brand voice. We called the system VoiceDesk Pro.
The system:
- Answers every call on the first ring — 24 hours a day, every day of the year
- Runs the full new-patient intake flow — reason for visit, insurance carrier and plan, previous dental history, preferred provider, scheduling preferences
- Pre-qualifies insurance — confirms in-network status and applies the right pricing language before booking, so there are no surprises at the chair
- Books chair-aware appointments — respects provider availability, chair assignments, hygiene blocks, and appointment-type-specific block lengths
- Routes existing patients correctly — billing questions, records requests, prescription refills, and reschedule requests get routed to the right team member without sitting in the new-patient flow
- Triages dental emergencies — acute pain, broken crowns, lost fillings, abscesses, and post-op concerns escalate immediately to the on-call dentist or after-hours rotation
- Logs every conversation — clean records flow into the practice’s CRM with full transcripts, recordings, and outcomes
- Sends weekly reporting — call volume, answer rate, booking conversion, top service requests, peak call hours, and missed-opportunity calls worth manual follow-up
The voice is natural and conversational. Most callers do not realize they’re speaking with an AI receptionist unless they explicitly ask.
How We Built It
The build followed the standard Clockwork Apps done-for-you engagement model:
- Discovery and intake. A working session covering the practice’s providers, chairs, appointment types, insurance carriers, recall rules, brand voice, and emergency-escalation tree. We listened to a sample of recent calls to understand the practice’s real conversational patterns.
- Build and script tuning. Call flows designed around the practice’s specific intake language. Booking rules configured against the existing scheduling system. CRM sync. Multi-tier escalation paths. Insurance pre-qualification logic with the practice’s in-network carriers baked in.
- Soft launch with live call review. After-hours and overflow calls routed first. Every single call reviewed in real time during the first two weeks. Edge cases caught. Scripts refined as patient questions surfaced.
- Full launch and ongoing optimization. Once the soft launch was clean, the agent took its full traffic share. Weekly tuning sessions adjust scripts as the practice’s needs, hours, or insurance landscape change.
Total time from kickoff to live: under three weeks. The same timeline we hit on every Atlanta dental engagement we run.
Outcomes
The practice now operates with:
- Zero missed calls — during business hours, after hours, weekends, holidays, and peak surge weeks
- Same-call booking for qualified new patients — the appointment is locked onto the right provider’s calendar before the caller hangs up
- A front desk free to focus on patients in the chair — the team is no longer fighting the phone for attention during checkouts and hygiene transitions
- Clean lead records in the CRM — every call logged with full transcript, ready for follow-up if needed
- Predictable monthly cost — flat engagement, no per-minute fees that climb with call volume
- Coverage that doesn’t depend on a hire — no front-desk turnover, no sick days, no training cycle, no holiday gaps
After-hours new-patient bookings — which were previously near zero — became a steady, predictable source of revenue. The system pays for itself on the after-hours recovery alone.
Why It Works for Dental Practices
Dental call handling has specific challenges that generic voice agents don’t solve. We tuned VoiceDesk Pro for every one of them.
- Insurance pre-qualification has to happen before booking, not after. The agent confirms carrier and plan up front and applies in-network logic before locking in the appointment.
- Chair-aware booking is essential. You can’t book a hygiene slot with the doctor or a new-patient comprehensive exam during a quick recall block. The agent respects all of it.
- New-patient calls are high-LTV but high-effort; existing-patient calls are routine but high-volume. The two need different flows. The agent separates them at the first sentence.
- Emergencies need to be triaged in seconds. The agent recognizes acute pain, broken crowns, lost fillings, and trauma — and escalates immediately to the right person.
- The voice has to fit the practice’s tone. Dental is a high-trust, patient-first category. Generic robocaller energy kills the conversion. We tuned the voice and scripts to match the practice’s actual brand.
VoiceDesk Pro was tuned for all of these from day one. That’s why the implementation worked — and that’s the same playbook we bring to every Atlanta dental engagement.
